The operator

An independent lessor with two thousand assets on book: trucks, yellow iron, machine tools, and medical equipment spread across job sites and state lines, each securing a contract that only performs if the asset stays real. Between origination and payoff, no system of record can say where a given asset is, whether it is insured today, or what its file would prove in a default.

The mission

No contract sits on the book secured by an asset the file cannot locate or prove insured. A UCC continuation that lapses turns the secured position into an unsecured claim in the one bankruptcy where it matters, and an insurance gap discovered after the casualty puts the loss on the house. Both are calendar failures, and the system runs the calendar. Where assets carry telematics, location lands on the same record, so recovery dispatches to a known address instead of opening with a skip trace.

How it runs

The collateral file builds as facts arrive: inspection photos, serial confirmations, UCC continuations, and insurance certificates tracked to their expiry dates, with a lapse opening a work item instead of a surprise. Renewals run on the calendar rather than on memory, and when an account defaults, recovery dispatches against a file that already proves what the asset is, where it was, and who confirmed it.

SPECIALTY SERVICING

For specialty loan servicing

Loans board clean, exceptions clear on schedule, and investor reporting reconciles to the ledger.

The operator

A specialty servicer running a book of bridge, commercial, and non-standard loans for a dozen investors, licensed in thirty states and audited by all of them. Every loan arrives from someone else's system, every exception is inherited, and every remittance has to reconcile to the penny against documents the servicer did not originate.

The mission

Loans board clean, and every remittance reconciles to the penny the first time. Exceptions inherited from the prior servicer clear in the first month instead of resurfacing as exam findings three years later, with a record that shows who cleared them and when. Mandates follow the scorecard: investors move books toward servicers that survive audit without a document scramble, so a clean exam is retained revenue and the next transfer won.

How it runs

Boarding runs as governed intake, with document custody and every inherited data exception logged, owned, and cleared on the record rather than in a spreadsheet nobody defends. Escrow disbursements and payoff quotes carry attribution for who computed and who signed off, and investor reporting draws from the same ledger the work was done on, so the remittance reconciles because it cannot do otherwise.

FUND ADMINISTRATION

For private fund administration

Capital calls, NAV closes, and distributions run on calendar, under sign-off, with the audit trail built in.

The operator

A fund administrator closing the books for dozens of mid-market private funds, handling capital calls, quarterly NAVs, and distribution waterfalls, where the client is the general partner but the audience is the limited partners and their auditors. The product is being right, on time, every period, with the working papers to prove it.

The mission

Every close lands on its calendar day, and no investor money moves on unverified instructions. A restated NAV costs the mandate, and a capital call wired to a spoofed account costs it faster; both are procedural failures the record is built to make impossible. The gain is capacity: the close stops depending on the two people who know where the spreadsheets live, and the same team carries more funds through quarter end without adding staff.

How it runs

Each NAV close runs as a governed sequence of inputs, calculations, review, and sign-off, with every step attributed to the person who performed it. Capital calls and distributions release under dual approval with instructions verified on the record, and investor reporting and the audit trail fall out of the same system the work was done in, so audit season is a read of the record.

ABL / FACTORING

For asset-based lenders and factors

Advances fund against verified collateral: borrowing bases, debtor verification, and exception clearance on one record.

The operator

An independent factor advancing against a few hundred invoice schedules a week, or an asset-based lender holding revolvers against receivables and inventory it never physically sees. The schedules arrive as emailed PDFs, debtor verification happens by phone, and every advance is house capital out the door before the collateral has proven itself.

The mission

Deployed so nothing funds against an unverified schedule. Dilution and cross-aging surface the week they move instead of at the next field exam, because the base recomputes from evidence as it lands. One fresh-air invoice funded wipes out the margin on a hundred clean schedules, and verification throughput caps the whole book: a house that clears schedules in hours instead of days funds same day, and same-day funding wins clients.

How it runs

Verification calls, debtor confirmations, and lien positions land on the record as attributed evidence the moment they happen, and the borrowing base recomputes from what is proven rather than what was submitted. Field exams file into the same record, reserves adjust against named exceptions, and funding releases only when the exceptions on that schedule have been cleared by someone accountable for clearing them.

TRADE FINANCE

For trade finance operations

Presentations examine against the credit, discrepancies clear on the UCP clock, and funds release against a proven file.

The operator

A trade finance house funding commodity cargoes under letters of credit and documentary collections, with a book spread across growers, traders, and buyers on three continents. Every position is a file: the credit, the draft, the invoice, the bill of lading, the certificate of origin, the inspection report, the insurance cover. The goods spend weeks on the water while the paper decides who gets paid. The office runs on SWIFT messages, courier pouches, and a shared drive.

The mission

Deployed to put document examination on the record before funds move. Two thirds of first presentations arrive discrepant, and every waiver is a credit decision made in hours against cargo nobody at the desk has seen. How it runs

The credit books with its terms decomposed into checkable requirements, and each amendment versions the file. A presentation lands as a document set, every document examines against the credit, and each finding carries the checker who made it. Discrepancies open as named exceptions with the waive-or-refuse decision owned inside the UCP 600 clock, and a bill of lading or warehouse receipt the system has seen before surfaces as a duplicate-financing flag. Funds release when the examination closes clean, and the file holds the whole evidence trail for the credit committee and the auditor.
